The Role

We are currently searching for an Administrative Assistant - Pension & Benefits, reporting to the Supervisor, Pension & Benefits. This is a Full-Time, 18-Month Contract opportunity. The Administrative Assistant – Pension & Benefits plays a key role in supporting the efficient delivery of pension and benefits programs. This position ensures smooth administrative operations, accurate record management, and timely communication, while providing flexible assistance to meet the evolving needs of the team. 

Location

On-site at our Corporate Office located in Bolton, ON. 

What You'll Be Doing

  • Digitally scan and upload confidential pension and benefits documents to the appropriate member profiles within our Pension system
  • Act as the in-office liaison for administrative tasks including filing, mailing, and managing incoming and outgoing mail
  • Respond to inquiries via phone and monitor the shared Pension & Benefits email inbox, ensuring timely and accurate communication
  • Perform physical tasks such as scanning documents and packing boxes — some time will be spent on your feet
  • Provide flexible support across the Pension & Benefits team, adapting to evolving needs and priorities
  • Other projects and duties as assigned
     

Who You Are - Your Knowledge, Skills & Experience

Education

  • Completion of High School and/or GED equivalent required
  • Completion of and/or in progress of completing a Degree or Certificate in Human Resources Management, Business Administration or related a strong asset

Experience

  • 1 year of related administrative experience
  • Experience printing and scanning documents, USB keys

Skills

  • Intermediate skills in MS Office: PowerPoint, Word, Excel, Outlook, Teams, SharePoint, OneDrive
  • Demonstrated ability to work independently, taking initiative and following through on work assignments
  • Ability to handle sensitive and confidential information with diplomacy and tact
  • Must be able to stand on your feet for 2 or more hours during a shift
