The Role
We are currently searching for a Disability Management and Return to Work Specialist, reporting to the Manager, Disability Management and Return to Work. This role serves as the primary point of contact for leaders and on disability case management, including workplace injury/illness management, short- and long-term disability absences, and workplace accommodations. The role ensures the consistent administration and application of related policies and procedures and co-owns the management of occupational and non-occupational absenteeism, including WSIB and short- and long-term disability claims. Working in partnership with employees, management, union representatives, and external stakeholders (Canada Life, WSIB), the role applies best practices to support early, safe return to work and effective accommodation outcomes.
Location
Our Corporate Office is located in Bolton, ON. This is a field-based role with visits to the office on an as-needed basis. Up to 40% of business travel is required to support organizational needs, therefore a valid driver’s license and access to a vehicle is required.
What You'll Be Doing
- Review accident/incident reports and determine WSIB claim filing requirements
- Coordinate WSIB claims end-to-end, partnering with managers, union reps, employees, and WSIB to gather information and submit employer reports within required timelines
- Ensure compliance with legislative and policy requirements, including documentation, submissions, timelines, and accommodation obligations
- Support claim strategy, including collecting objective information, preparing claim objections as needed, and assembling documentation for objections/appeals
- Monitor and support early and safe return-to-work plans (including RTW meetings), liaise with internal teams on claim administration (e.g., payment/coding), and contribute to RTW training for retail leaders
- Prepare and submit employer documentation for short-term disability claims and support employees through the application process
- Partner proactively with Canada Life case managers throughout the life of a claim (including regular file reviews) to provide job information, support timely claim decisions, and help manage claim duration
- Coordinate claim administration and stakeholder inquiries, ensuring accurate benefit payments, timely updates, and required reporting (e.g., weekly hours for graduated return-to-work plans).
- Maintain complete, confidential claim records in Parklane in accordance with record-keeping standards and privacy requirements; facilitate return-to-work meetings for modified work when required
- Assess accommodation requests and gather/confirm restrictions and limitations, liaising with medical providers as required
- Develop, implement, and monitor workplace accommodation/modified work plans with employees, managers, and the union; maintain accurate documentation and HRIS/Parklane records, including quarterly modified work audits
- Perform other related projects and duties as assigned
Education
- Post-secondary education in Human Resources, Occupational Health and Safety, Kinesiology, Ergonomics or 3-5 years of recent experience specializing in absence/disability management
- Must possess or be working towards a Disability Management Certificate (CDMP or CRTWC)
- Valid G class driver’s license and access to a vehicle is required
Experience
- Minimum 3-5 years in disability claims administration/management
- Minimum 3-5 years experience working with insured and self insured short-and long-term disability products
- Knowledge of medical terminology, human anatomy, and effects of injury/illness on physiology
- Previous experience working for an organization with a unionized environment would be considered an asset
- Experience with ergonomics is an asset
- Working knowledge of Workplace Safety and Insurance Act (Ontario), Workers Compensation Board (Alberta, Saskatchewan, Manitoba), WorkSafe BC, Occupational Health and Safety acts, Human Rights legislation and relevant policies
Skills
- Understanding of Workplace safety and insurance act (Ontario), Occupational Health and Safety acts, Human Rights legislation and relevant policies
- Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook)
- Experience using HRIS systems, such as SAP Successfactors
- Comprehensive knowledge of insurance company policies, as well as applicable legislation and interpretation of sections of collective agreements pertinent to disability benefits
- Ability to understand functional information/Return to work (RTW) barriers and their correlation to suitable work assignments
- Excellent levels of communication both verbal and written
- Liaise with business units concerning injury / illness reporting, accident investigations, earning information & employee capabilities / restrictions
- Discretion, judgement and ability to deal with highly confidential information, sensitive and emotional situations
- Ability to understand, interpret and apply disability management best practice principles

Compensation
