The Role

We are currently searching for a Human Resources Coordinator reporting to the Manager, Talent Acquisition. This is a full-time, 12-month contract opportunity.   The Human Resources Coordinator will contribute to key HR functions including position management, recruitment, performance management, and transactional processes. This role is responsible for precise data entry and ongoing record maintenance in the HRIS (SAP SuccessFactors), with a focus on hiring and onboarding non-union employees. Additionally, the coordinator provides administrative support and assists the HR team in coordinating a range of departmental initiatives.

Location

Our Corporate Office is located in Bolton, ON. We offer a hybrid work model with visits into the office a minimum of three times per week and on an as-needed basis depending on the role and function. 

What You'll Be Doing

  • Manage position data in SAP SuccessFactors, ensuring accurate setup and alignment with organizational structures, workflows, approvals, and security requirements
  • Process internal employee transactions for non-union and salaried staff (hires, transfers, promotions, terminations, etc.) 
  • Complete onboarding system processes and uploading of new hire documentation
  • Support HR and HRMS teams with testing and implementation of system upgrades, as needed
  • Support recruitment activities by preparing offer letters, posting all Union jobs, entering requisitions, and assisting with candidate employment reference checks
  • Manage contract and secondment lifecycles by tracking end dates, preparing reports, coordinating with hiring managers and compensation team, and tracking performance reviews through to completion
  • Prepare and process contract extension letters, editing existing templates to ensure compliance with contract terms, company policies, and provincial legislation
  • Create the weekly Cheers to Careers email and poster, update SharePoint pages
  • Monitor and manage HR communication channels (multiple shared inboxes and HR voicemail) to ensure timely and professional responses
  • Provide other HR support, including entering SAP purchase requisitions and performance management administration 
  • Perform other related duties and projects as assigned
     

Who You Are - Your Knowledge, Skills & Experience

Education

  • University or college degree in Human Resources, Business Administration, or a related field of study is an asset

Experience

  • A minimum of 2-4 years of related working experience with a focus on position management
  • Must have experience using a Human Resources Information Systems (HRIS) and Applicant Tracking System (ATS); experience working with SAP would be an asset
  • Experience with data-entry with an emphasis on attention to detail and organizational skills

Skills

  • Detail oriented and possesses investigative skills to determine cause of transactional and/or data issues
  • Strong attention to detail and organizational skills, ability to think critically and take initiative
  • Strong verbal and written communication skills with the ability to communicate with employees across all levels of the organization
  • Ability to handle sensitive and confidential information with diplomacy and tact
  • Intermediate skills in MS Office: PowerPoint, Word, Excel, Outlook, Teams, SharePoint, OneDrive
  • Ability to manage own work independently and effectively, by prioritizing work schedules and completing assigned duties within timelines
