The Role
We are currently searching for a Payroll Administrator, reporting to the Manager, Payroll. This vacancy is a full-time, permanent opportunity. The Payroll Administrator is responsible for the accurate, timely, and compliant administration of payroll for approximately 6,000 employees across unionized and non-unionized operations. In this role, you will manage complex payroll activities, support employee lifecycle events, and ensure compliance with applicable legislation, company policies, and collective agreements. As a trusted payroll subject matter expert, you will partner with employees, leaders, and cross-functional teams to resolve payroll-related matters, provide guidance, and support reporting and compliance initiatives. This position plays a key role in delivering an exceptional employee experience, maintaining payroll integrity, and contributing to continuous process improvement and operational excellence.
Location
Our Corporate Office is currently located in Bolton, ON. We offer a hybrid work model with visits into the office a minimum of three times per week and on an as-needed basis depending on the role and function.
What You'll Be Doing
- Independently administer and verify weekly, bi-weekly and semi-monthly payroll transactions for approximately 6000 unionized and non-unionized employees
- Audit payroll transactions and employee data to ensure accuracy, investigate discrepancies, and implement corrective actions as required
- Interpret and apply company policies, employment legislation, and collective bargaining agreements to ensure accurate and compliant payroll administration
- Calculate and administer employee leaves, including vacation, personal, bereavement, disability, maternity, and parental leaves, as well as applicable payouts in accordance with company policies and collective agreements
- Process complex payroll transactions, including retroactive payments, adjustments, reversals, overpayments, terminations, and off-cycle payrolls
- Coordinate payroll activities related to employee lifecycle events, including hires, transfers, promotions, leaves of absence, retirements, and terminations, including the preparation and reconciliation of Records of Employment (ROEs)
- Serve as a payroll subject matter expert and primary point of contact for employees, managers, HR, unions, government agencies, and third-party stakeholders, resolving complex payroll inquiries and issues
- Collaborate with HR, Pension and Benefits, Compensation, Finance, Employee Relations, and operational leaders to ensure accurate employee administration and payroll processing
- Ensure payroll activities comply with federal and provincial legislation, CRA requirements, company policies, and collective agreements while identifying and mitigating payroll risks and compliance concerns
- Prepare, reconcile, and distribute payroll reports, remittances, and year-end payroll activities, including T4 balancing and reporting requirements
- Contribute to continuous improvement initiatives by identifying opportunities to enhance payroll processes, automation, operational effectiveness, and service delivery
- Maintain payroll procedures and documentation and provide cross-functional backup support to ensure payroll continuity and compliance
- Perform other related duties and projects as assigned
Who You Are - Your Knowledge, Skills & Experience
Education
- Post-secondary diploma or certificate in Business, Accounting, Bookkeeping or related field
- Payroll Compliance Practitioner (PCP) Certification would be an asset
Experience
- 3-5 years of hands-on payroll experience in a complex, high-volume unionized environment
- Demonstrated experience interpreting and applying collective bargaining agreements, employment standards legislation, payroll taxation requirements, garnishment regulations and company policies
- Experience with SAP Success Factors, Workforce Software or similar HRIS/Payroll systems is considered an asset
Skills
- Demonstrated ability to manage competing priorities and deliver accurate results withing strict payroll deadline
- Proficiency in MS Office Products: Excel, Word, PowerPoint and Outlook
- Excellent communication and interpersonal skills with the ability to build effective working relationships across all levels of the organization
- Exceptional analytical, problem-solving, decision-making skills with the ability to identify root causes and recommend effective solutions
- Demonstrates flexibility in changing priorities; commitment to process improvement, operational efficiency and continuous learning
- Ability to maintain confidentiality while handling highly sensitive payroll, employment and financial information
- Strong understanding of collective agreement interpretation and application across multiple bargaining units
- Strong attention to detail with a proven ability to manage high volumes of data and maintaining accuracy
- Excellent knowledge of current federal and provincial payroll legislation, employment standards, taxation requirements and payroll compliance practices
- Ability to independently investigate and resolve payroll discrepancies while exercising sound judgement and discretion
- Strong customer service and consultation skills with the ability to effectively address sensitive and complex employee matters
- Strong ability to work as part of a team
Compensation
