The Role
We are currently seeking a Payroll Specialist to join our team on a full-time, permanent basis, reporting to the Manager, Payroll. This role is responsible for ensuring the accurate and timely processing of weekly, semi-monthly, and bi-weekly payrolls while supporting the daily operations of the Payroll Department. The Payroll Specialist collaborates with various departments to provide ongoing system support, testing, and maintenance, addressing tax updates, system troubleshooting, minimum wage adjustments, and new collective bargaining agreement (CBA) changes. Additionally, this role contributes to process improvements and ensures compliance with payroll regulations and company policies.
Location
Our Corporate Office is located in Bolton, ON. We offer Remote/Hybrid Flex work with visits into the office on an as-needed basis depending on the role and function.
What You'll Be Doing
- Ensure accurate and timely processing of weekly, bi-weekly, semi-monthly, and other payrolls, including data collection, payroll calculations, report preparation, and remittance submissions to government bodies
- Perform quality assurance reviews of payroll edits, assist with internal, external, and government audits, and ensure compliance with payroll-related legislation and collective agreements for TBS & BDL
- Respond to inquiries from HR, accounting, managers, employees, and third parties, while managing off-cycle payments, DDP recalls, and stop payments as needed
- Support the HRMS department with payroll-related matters, system updates, testing, project management, and maintenance (e.g., tax updates, wage increases, Collective Bargaining Agreement changes)
- Serve as a payroll subject matter expert for system projects, developing and implementing interfaces with HRMS
- Assist the Payroll Manager with year-end activities, including testing, balancing, reporting, T4 printing, final filings (CRA, EHT, WSIB), and mapping new wage types for accurate T4 box allocation
- Manage HR workflows and ensure timely processing of annual merit increases and incentive payments for non-union employees, including running payroll simulations for accuracy
- Other related duties and projects as assigned
Who You Are - Your Knowledge, Skills & Experience
Education
- Completion of High School and/or GED equivalent required
- Bachelor's degree or comparable relevant work experience
- Canadian Payroll Association (CPA) designation or equivalent in work experience
Experience
- Minimum 5 years diversified Payroll background within a large-unionized environment
- Experience running payroll using an integrated software system, preferably SAP SuccessFactors and Workforce Software
- Experience with payroll system query tools for reporting and is highly proficient in MS Excel
- Experience working in a high pressure environment, handling high volumes of sensitive and confidential data, with a high level of accuracy and need for detail
- Excellent knowledge of current government legislation pertaining to payroll practices
- Strong understanding of Income Tax Act, Provincial Legislations as they relate to Payroll, and Provincial Employment Standards
Skills
- Excellent levels of communication both verbal and written
- Excellent interpersonal communication and leadership skills are essential along with strong technical, analytical and problem-solving abilities
- In depth knowledge of company policies, procedures and multiple Collective Agreements
- Ability to collaborate with others to develop actionable plans
- Excellent time management and multi-tasking skills with strong attention to detail
