The Role
We are currently searching for a Real Estate & Construction Coordinator, reporting to the Director, Real Estate and Construction. This vacancy is a full-time, permanent position. The Real Estate & Construction Coordinator provides essential administrative and project coordination support to the Real Estate & Construction team. This role ensures the successful execution of various real estate and construction projects by managing documentation, tracking timelines, coordinating with internal stakeholders and external vendors, and maintaining accurate project records. The coordinator acts as a central point of communication, helping to streamline processes, monitor progress, and ensure compliance with company standards and regulatory requirements. By supporting project managers and leadership, this position contributes to delivering projects on time, within budget, and aligned with organizational objectives.
Location
Our Corporate Office is located in Bolton, ON. This is a field-based role with visits to the office on an as-needed basis. Up to 10% of business travel is required to support organizational needs, therefore a valid driver’s license and access to a vehicle is required.
What You'll Be Doing
- Support the planning and coordination of real estate, construction, and renovation projects, working closely with Project Managers to ensure timely and successful delivery
- Maintain project documentation, drawings, and development pipeline reporting to support visibility across active and upcoming initiatives
- Track capital project expenditures, prepare reports for Finance, and support construction close‑out activities, including documentation and occupancy requirements
- Assist with scope development, site visits, contractor quotes, and pricing discussions to ensure deadlines, budgets, and performance standards are met
- Coordinate with external consultants such as designers and engineers, and partner with internal teams including Operations, Loss Prevention, and Health & Safety
- Review and process contractor and supplier progress payments, purchase orders, requisitions, and invoices in SAP
- Support maintenance and compliance activities by reviewing lease obligations, coordinating landlord repairs, and responding to urgent facility issues
- Manage contractor health and safety, insurance, and certification documentation, ensuring compliance with ISN and high‑risk work requirements
- Assist with annual maintenance and capital budgeting, quarterly forecasting, and program‑specific budgeting initiatives
- Prepare analysis, reports, and presentation materials to support senior management decision‑making and continuous improvement initiatives
- Perform other related duties and projects as assigned
Who You Are - Your Knowledge, Skills & Experience
Education
- Post-secondary education in Business Administration, Real Estate, Construction Management, or a related field
- Additional certifications in project coordination or real estate administration are an asset
Experience
- Minimum 5 years of experience in an administrative or coordination role, preferably within real estate, construction, or facilities management
- Exposure to project management processes and construction documentation (e.g., permits, contracts, drawings)
- Experience working with multiple stakeholders, including vendors, contractors, and internal teams
- Demonstrated experience with SAP or similar systems
Skills
- Strong understanding of real estate and construction terminology, processes, and compliance requirements
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and project management tools (e.g., MS Project, Smartsheet, or similar)
- Familiarity with invoice and payment management, as well as financial tracking and budgeting for projects
- Strong analytical skills with the ability to interpret data
- Possesses negotiation skills
- Knowledge of lease administration and property management systems is an asset
- Excellent organizational and time management skills with the ability to handle multiple priorities
- Strong communication and interpersonal skills for effective collaboration. Detail-oriented with a high level of accuracy in documentation and reporting
Compensation
