The Role

We are currently searching for a Client Services Administrator, reporting to the Business Unit Supervisor. This is a full-time, 12‑month contract opportunity, operating Monday to Friday from 8:30 a.m. to 4:30 p.m. The Client Services Administrator will support the Business Unit Supervisor and Field Managers by handling administrative tasks for the Draught Services field division, including payroll, route reporting, and maintaining training manuals. Responsibilities include creating and managing records, spreadsheets, and reports; providing daily support to Field Technicians; managing customer phone lines; dispatching service calls; addressing customer complaints; and redirecting calls as required.

What You'll Be Doing

  • Primary contact for all field reps and administrative support for field management. Maintain weekly and monthly touchpoints to ensure field objectives being tracked for success
  • Monitor and enforce deadlines for all Field Rep reporting requirements to ensure timely updates to route lists
  • Weekly submission of daily activity reports to field managers manage the Weekly Indemnity process from beginning to end to ensure all necessary reporting requirements and deadlines are met
  • Oversee the entire WSIB process, ensuring all reporting requirements and deadlines are met, including managing Modified Work Programs and coordinating with the Disability Department
  • Update the GPS system on a regular basis as fleet units are switched between reps and/or new units are received to ensure the correct Field Rep is assigned to each GPS unit
  • Manage the units which are onsite and available for the Warehouse or deliveries to ensure they are signed out and rotated on a regular basis. Ensure any maintenance required for these units are completed in a timely manner
  • Manage the Fleet incident reporting process.   Monitor and follow up with parties involved to ensure all information is collected and repairs are completed
  • Liaise between customer and technician by collecting and relating information between both parties, pertaining to Licensee service lines, service requests, installations, billings, and general inquiries.
  • Manage all incoming calls and email communication to respective departments in a timely manner
  • Administer the payroll process internally with all parties including Warehouse Manager, Field Managers, Business Unit Supervisor for approvals
  • Receive and check weekly Field time sheets for accuracy of any absent coding against vacation calendar. Check all additions for accuracy. Provide time sheets to Field managers for approval and upon approval process
  • Perform other related duties and projects as assigned

Who You Are - Your Knowledge, Skills & Experience

Education

  • Completion of High School and/or GED equivalent required
  • Courses or diploma/degree in Office Administration an asset

Experience

  • 1-3 years of experience in a customer service role
  • Minimum 1+ years experience in an office environment
  • HR or Payroll experience would be an asset

Skills

  • Intermediate computer skills of Microsoft Office Suite products
  • Knowledge of Business Central or a similar accounting system an asset
  • Excellent levels of communication both verbal and written
  • Ability to communicate with tact and professionalism
  • Demonstrated ability to work independently, taking initiative and following through on work assignments
  • Excellent time management and multi-tasking skills with strong attention to detail
  • A dynamic team-player with willingness to jump in and help when needed

Compensation

The hiring range for this position is $22.15 - $27.69 CAD per hour. The final agreed upon salary may vary based on factors such as job-related knowledge, skills and experience.
