The Role

We are currently seeking an IT Operations & Project Support Specialist, reporting to the Senior Manager, IT Vendor Management.  This is a 12 month, full-time contract opportunity.  The IT Operations & Project Support Specialist is primarily an administrative role, serving as a key liaison between end users and third-party support partners. This role involves supporting the IT team with daily and monthly financial management, including invoicing and budgeting, as well as training users on file sharing, desktop settings, applications, Windows OS, remote control solutions, and printer support. Additionally, the Specialist will manage schedules for hardware upgrades, project implementations, and process improvements, all while supporting various IT initiatives and ensuring timelines are met. The ideal candidate will excel in a fast-paced IT environment and adapt to the industry's evolving demands.

Location

Our Corporate Office is located in Bolton, ON. We offer Remote/Hybrid Flex work with visits into the office on an as-needed basis depending on the role and function. 

What You'll Be Doing

  • Manage monthly and annual budgeting processes including, but not limited to, invoices, purchase orders, accounts receivable, accounts payable, and regular financial reviews of AOP and Capital spend with IT Management
  • Liaison with TBS/BDL accounting and corporate financial services team providing required information for IT related costs.  This would include, but not limited to tracking monthly accruals, IT department reporting and implementation of approved accounting procedures
  • Support the Senior Manager, IT Vendor Management by coordinating approved projects, managing timelines, documenting progress, and assisting with project charter tasks, including risk management, escalation, and stakeholder communication
  • Ensure management and stakeholders are kept informed of critical-path progress and variances from plan
  • Assisting users, virtually and in-person, to diagnose and resolve technical problems and issues including but not limited to Lexmark printers, file share, permissions, general desktop settings, applications used in production
  • Develop training, and communication content for end users (projects, and internal newsletters)
  • Support services coverage required for Corporate Office, Retail Stores, and Distribution Centers, including, but not limited to managing internal department communication site (SharePoint)
  • Works with internal and external partners to define requirements and to build a communication channel between organizations
  • Oversee departmental service requests for various activities including, but not limited to terminations, profile changes (Active Directory accounts), site open and closure modifications etc.
  • Perform other related duties and projects as assigned
     

Who You Are - Your Knowledge, Skills & Experience

Education

  • Degree or Diploma in Business or Information Technology (IT)

Experience

  • 3-5 years’ experience in technical and project coordination
  • Project Management experience would be an asset
  • Experience with MS products including Office, Forms, AVD (Windows Virtual Desktop), SharePoint, Teams etc.
  • Coordinating 3rd Party Partners (Microsoft, SAP, CGI, Levata, Itergy, COMPUGEN, Lexmark, Infosys, PleaseHold, etc.)
  • Experience with SAP (ECC, FICO & Procurement)

Skills

  • Basic knowledge of budget processes
  • Experience in managing invoices, purchase orders, accounts receivable and accounts payable
  • Basic knowledge of technical principles
  • Proficiency with Microsoft Office suite of products including SharePoint, and Power BI
  • Ability to manage multiple projects and initiatives
  • Excellent levels of communication both verbal and written
  • Ability to manage own work independently and effectively, by prioritizing work schedules and completing assigned duties within timelines
  • Strong attention to detail and problem-solving skills
  • Ability to identify issues and provide solutions through remote control access/platforms
